Speed matters after a positive reply: the chance of booking a meeting drops sharply after the first hour. Notifications tell you the moment a lead replies with interest — by email, in a Slack channel, or as a browser/mobile push — so you can answer from the Unified Inbox without watching it all day.
What triggers a notification
- Default: any reply the AI categorizes as Interested or Meeting Booked.
- Optional: any custom category with Positive sentiment and the useful flag (set under Campaign Settings → Reply Categorization).
- Optional: All replies (noisy — only for low-volume campaigns).
- Never: Out of Office, Bounce and Unsubscribe.
Each notification contains the lead name, company, campaign, category, the first lines of the reply and a link that opens the conversation in the Unified Inbox.
Steps: email notifications
- In the left nav, click Settings, then Notifications.
- Under Email, switch Positive replies on.
- Enter the recipient addresses (comma-separated). Your login email is filled in by default.
- Choose Instant or Daily digest (one email at the time you choose with all positive replies from the day).
- Click Save.
Steps: Slack notifications
- In Settings → Notifications, under Slack, click Connect Slack.
- Approve the OutreachFox app in Slack for your workspace.
- Pick the Channel (for example #outreach-replies). A private channel works if you invite the OutreachFox app to it first.
- Tick the events to post: Interested, Meeting Booked, custom positive categories, and optionally Campaign paused (bounce rate) and Mailbox disconnected.
- Click Save and then Send test to confirm a message appears in the channel.
Steps: push notifications
- In Settings → Notifications, under Push, click Enable.
- Allow notifications when your browser asks. On mobile, install the web app to the home screen first, then enable.
- Choose which events to push. Recommended: Interested and Meeting Booked only.
- Click Save.
Steps: per-campaign overrides
- Open the campaign, click Edit Campaign → Settings → Show Advanced Configurations.
- Under Notifications, choose Use workspace defaults or set a different channel or recipient list for this campaign. Useful when one campaign belongs to a different rep or client.
- Click Resume Campaign or Save.
Tips
- Route Slack notifications to a shared channel and have the assignee react with an emoji when they take a conversation. It is the simplest way to avoid two people replying.
- If you run campaigns for several clients, use a Slack channel per client via the per-campaign override.
- Use the daily digest for Not Interested and Wrong Person if you want visibility without interruptions.
- Notifications are only as good as your categories. Once a week, check the Interested filter in the inbox against what was notified and fix any miscategorized replies.
- Turn on Mailbox disconnected alerts. A disconnected mailbox silently stops replies from reaching the inbox.
Troubleshooting
- No Slack messages. The app was removed from the channel or the channel was archived. Reconnect under Settings → Notifications and pick the channel again. Also check that the events are ticked.
- Email notifications go to spam. Add the OutreachFox notification sender to your contacts or create a filter in your mail client.
- Push works on desktop but not on mobile. iOS requires the web app to be installed to the home screen and notifications allowed in iOS Settings for that app.
- Notified for replies that are not positive. A custom category has Positive sentiment but is used for neutral replies. Change its sentiment under Reply Categorization.
