The Unified Inbox collects every reply your campaigns receive — from every connected mailbox and from LinkedIn — into one view. You no longer log in to 20 Google Workspace or Outlook accounts to find out who answered. Each conversation shows the lead, the campaign, the sending mailbox, the AI reply category, and the full thread, and you can answer from the same screen.
What the Unified Inbox shows
- Conversation list (left): one row per lead thread, newest activity first. Each row shows the lead name, subject or first line, the campaign it belongs to, the reply category badge (Interested, Not Interested, Out of Office, Meeting Booked, and any custom categories) and a timestamp.
- Thread view (centre): every message in the conversation in order — your sequence emails, the lead's replies and anything you sent manually. LinkedIn messages from a Multi Channel Outreach campaign appear in the same thread as the emails to that lead.
- Lead panel (right): the lead's contact fields, the campaign and step they are on, their status (Replied, Bounced, Unsubscribed and so on), labels, and the assigned teammate.
- Filters (top): by campaign, mailbox, channel (Email / LinkedIn), reply category, label, assignee, read/unread and date.
Steps
- In the left nav, click Inbox.
- The All folder opens by default. Click a conversation to open the thread.
- Use the filter bar to narrow the list: pick a Campaign, a Mailbox, a Category (for example Interested) or a Label.
- Type in the Search box to find a lead by name, email or company.
- Open a conversation and read the thread. Unread conversations are shown in bold and are marked read when you open them.
- Act on the conversation from the toolbar: Reply, Forward, change the Category, add a Label, Assign to a teammate, Archive, or mark Unread.
How replies reach the inbox
- OutreachFox polls each connected mailbox through the same Google, Microsoft or IMAP connection you set up under Mailbox → Connect Mailbox. Replies typically appear within 1–5 minutes.
- A reply is matched to a campaign and lead by the message thread and the lead's email address. When a lead replies, the campaign stops sending further steps to that lead automatically.
- Each incoming reply is classified by AI reply categorization (see Campaign Settings → Reply Categorization) before it appears, so you can filter on Interested straight away.
- Auto-replies such as out-of-office messages are categorized as Out of Office and do not count as real replies in campaign analytics.
Tips
- Work from the Interested filter first each morning; that is where revenue is. Aim to answer positive replies within one business hour — response time is the biggest lever on meeting rate.
- Keep All at zero unread by archiving conversations you have handled. Archived threads stay searchable and reopen automatically if the lead writes again.
- If several people share the inbox, assign every open conversation to one owner so nothing gets two replies or none.
- Do not reply from your personal Gmail or Outlook. Replying from the Unified Inbox keeps the thread and the tracking intact and keeps the lead's status correct.
Troubleshooting
- A reply is missing. Check that the mailbox is still connected under Mailbox (a red status means the token expired — reconnect it). Also check the lead's spam or junk folder in the mailbox itself; OutreachFox only reads the inbox.
- A reply is attached to the wrong lead. This happens when a lead forwards your email to a colleague who replies from a different address. Use Move to lead or add the new address as a contact.
- "No data available" in the inbox. The campaign has not sent any emails yet, or no lead has replied.
