Every workspace has exactly one Owner, who controls billing and deletion. When the person who set up the account leaves, or when an agency hands a workspace over to the client, you transfer ownership. Separately, mailboxes can be moved between workspaces you administer, for example when you consolidate two client workspaces or reassign warmed-up mailboxes to a new campaign team.
Transfer ownership
Prerequisites
- You are the current Owner.
- The new owner is already a member of the workspace (any role). Invite them first if not.
- Two-factor authentication is enabled on your account; the transfer asks for a code.
Steps
- Click Settings in the bottom-left corner and open Team.
- Click the three dots next to the member who will become Owner and choose Transfer ownership.
- Read the summary. It lists what moves with ownership: billing responsibility for this workspace, the ability to delete it, and API keys created by you (they keep working; the new owner can revoke them).
- Enter your two-factor code and click Transfer.
- The new owner receives an email and must click Accept ownership within 7 days. Until they accept, you remain Owner and can click Cancel transfer.
After acceptance, your role becomes Admin. If the workspace was billed on your payment method, it is billed on the new owner's payment method from the next renewal; they are prompted to add one on acceptance.
Handing a workspace to a client
Agencies usually follow this order: transfer ownership, then have the client add their payment method, then remove your own users from Settings → Team. White-label branding stays whatever the agency configured until the new owner changes it.
Move mailboxes between workspaces
Prerequisites
- Admin or Owner in both the source and destination workspaces.
- The mailbox is not a sender account in a running campaign. Pause the campaign or remove the mailbox from its sender accounts first.
Steps
- In the source workspace, open Mailbox in the left nav.
- Select the mailboxes to move using the checkboxes.
- Click the three dots (bulk actions) and choose Move to workspace.
- Pick the Destination workspace and click Move.
The mailbox appears in the destination workspace's Mailbox list within a minute.
What moves with a mailbox
- Connection credentials (Google, Microsoft or IMAP/SMTP). No reconnection needed.
- Warm-up status, warm-up profile assignment and warm-up history. Warm-up continues without interruption.
- Signature and campaign emails-per-day limit.
What does not move
- Campaign history. Emails already sent stay with the campaigns in the source workspace.
- Domain records. If the mailbox's domain is registered through Icemail, the domain stays visible in both workspaces' Domain page as long as at least one of its mailboxes is present.
- The custom tracking domain set in Domain → Settings. Set it again in the destination workspace.
Tips
- Move mailboxes in groups by domain (2–3 mailboxes per domain) so a domain's reputation is not split across teams.
- Do the move outside the sending schedule's active hours to avoid a half-sent step.
- After moving, re-check the mailboxes' Warm up tab in the destination workspace to confirm health and inbox placement are still reporting.
Troubleshooting
- "Transfer ownership" is greyed out: you are not the Owner, or two-factor is not enabled on your account.
- New owner did not get the email: check Settings → Team, where the transfer shows as Pending; click Resend.
- Mailbox not in the bulk menu: it is a sender account in a running campaign. Pause the campaign and retry.
- Moved mailbox shows "Disconnected": the destination workspace's Google client ID or Microsoft app is different. Reconnect via Mailbox → Connect Mailbox.
