A warm-up profile defines how many warm-up emails a mailbox sends each day and how fast that number ramps up. OutreachFox ships four default profiles and lets you create your own. You reach profiles either from Settings or from Manage Profiles in the Enable Warm Up dialog.
The four default profiles

| **Custom Mailboxes** | IMAP/SMTP mailboxes and any provider not listed |
| **Azure** | Azure-based Microsoft mailboxes |
| **Microsoft** | Microsoft 365 / Outlook mailboxes |
| **Google** | Google Workspace mailboxes |
Each is tuned to the provider's tolerance for volume ramp. Pick the matching one unless you have a reason to change it.
Steps: view and edit profiles from Settings
- In your OutreachFox account, look at the bottom-left and click Settings.


- In Settings, review the list of existing warm-up profiles.

- Note the four pre-created profiles: Custom Mailboxes, Azure, Microsoft and Google.

- To customise a profile, click it and adjust its settings as needed, then save.

Steps: create a custom profile while enabling warm-up
- Go to Mailbox, select the mailboxes and click Enable Warm Up.
- Click Manage Profiles.

- Create a new profile. Set the number of warm-up emails sent daily, how quickly the volume ramps up, and the other preferences shown.
- Save the profile, return to the list, select it and click Enable Warmer.
Recommended profile settings

Keep the ramp slow for Google mailboxes and slightly slower again for Microsoft/Azure, which are more sensitive to sudden volume.
Tips
- Create one profile per mailbox batch rather than editing a default. Name it by purpose: "Google – new domains", "Azure – in campaign".
- Editing a profile changes every mailbox that uses it. Check which mailboxes are on a profile before you change it.
- A high reply rate (30–40%) in warm-up produces more positive engagement signals than a high send volume.
- When a mailbox moves into a campaign, switch it to a reduced profile rather than turning warm-up off.
Troubleshooting
- Profile not appearing in the Enable Warm Up list. Refresh the page; newly created profiles load on the next open of the dialog.
- Mailboxes ramped too fast and health dropped. Move them to a profile with a lower max and slower increase; health usually recovers in 5–7 days.
- Cannot delete a default profile. Defaults are fixed. Create a custom profile instead.
