Each mailbox has a Warm up tab showing when warm-up started and four headline metrics: mailbox health, inbox placement, spam placement and bounce rate. Check it before adding a mailbox to a campaign and weekly while it sends.

Steps

  1. Log in to your OutreachFox account.

  1. Review the dashboard. It shows when warm-up started and tracks mailbox health, inbox placement, spam placement and bounce rate.

How to read each metric

Health score — a composite of placement, bounces and engagement over the recent warm-up window, on a 0–100 scale.

  • 90–100: ready for campaigns at full daily limit.
  • 70–89: usable, keep the campaign limit at 20–30/day and watch it.
  • Below 70: not ready. Keep warming; if it stays under 70 for a week, investigate (see below) or replace the mailbox.

Inbox placement — the share of warm-up emails that landed in the primary inbox of receiving mailboxes. Target 95%+. Below 90% means the mailbox or domain is being filtered.

Spam placement — the share of warm-up emails that landed in spam before the warm-up network rescued them. Target under 5%. A spike on one day is normal; a rising trend over 3+ days is not.

Bounce rate — the share of warm-up emails that could not be delivered. Should be near 0%. Any bounce in warm-up points at a mailbox or DNS problem, not list quality, because the warm-up network only uses valid addresses.

Tips

  • Compare mailboxes on the same domain. If all of them dip together, the domain (DNS, blacklist, content) is the cause. If one dips alone, the mailbox is.
  • Check the dashboard on day 7 and day 14 of warm-up before you decide to launch.
  • Do not launch from a mailbox showing spam placement above 10% regardless of health score.

Troubleshooting

  • Health high but inbox placement low. Health lags; placement is the leading indicator. Trust placement.
  • Bounce rate above 0% in warm-up. Check that SPF/DKIM/DMARC pass and MX is set. For Microsoft mailboxes, confirm SMTP AUTH and IMAP are enabled.
  • Metrics frozen. Warm-up is paused for the mailbox. See Troubleshooting warmup.
