Warming up a mailbox builds its sender reputation before you use it in campaigns, so your emails stay out of spam. You enable warm-up from the Mailbox page by selecting one or more mailboxes and assigning a warm-up profile.
Prerequisites
- At least one connected mailbox (imported from Icemail, or connected via Google Workspace / Office365 Outlook).
Steps
- In your OutreachFox account, click Mailbox on the left-hand side.


- Select the mailboxes you want to enable warm-up for. You can tick several at once.

- Click Enable Warm Up.


- Pick a warm-up profile from the list. Four profiles are available by default: Custom Mailboxes, Azure, Microsoft and Google. Choose the one matching the mailbox's provider (for example, Default Warmer for Google for Google Workspace mailboxes).


- Select the chosen profile.


- Click Enable Warmer to activate mailbox warm-up.

What you see afterwards
The selected mailboxes show a warm-up status on the Mailbox page. Warm-up emails start going out at the profile's starting volume and ramp up daily. Open a mailbox and click Warm up to see health, placement and history.
Why this matters
Providers judge a mailbox by its history. A new mailbox that suddenly sends 50 cold emails a day looks like a spam account. Warm-up sends a small, rising number of emails between real mailboxes in the OutreachFox warm-up network; those emails get opened, replied to and pulled out of spam, which teaches Gmail and Microsoft that mail from this address is wanted.
Tips
- Enable warm-up on every new mailbox the day it is connected. Idle time does not build reputation.
- Warm up for at least 14 days before adding a mailbox to a campaign; 2–3 weeks for a brand-new domain.
- Leave warm-up on after launch at a lower volume. Use the bulk actions bar to switch profiles for many mailboxes at once.
- To turn warm-up off, select the mailboxes and choose Disable in the warm-up bulk action.
Troubleshooting
- Enable Warm Up is greyed out. No mailbox is selected, or the mailbox is still provisioning.
- Warm-up shows as paused shortly after enabling. The mailbox failed to send (wrong credentials, provider block, or SMTP/IMAP not enabled for Microsoft accounts). Reconnect the mailbox and re-enable.
- Wrong profile chosen. Select the mailbox, click Enable Warm Up again and pick a different profile; the new profile replaces the old one.
