This article covers three related but different things: deleting a single workspace, deleting your entire account, and handling GDPR or similar data-protection requests, both for your own data and for leads who contact you. Deletion is permanent, so export first.
Delete a workspace
Prerequisites
- Owner of the workspace.
- The subscription for the workspace is cancelled or the workspace is on a plan that allows multiple workspaces.
- A full export has been taken if you need the data (see "Export your account data").
Steps
- Switch to the workspace using the OutreachFox icon / arrow at the top-left.
- Click Settings in the bottom-left corner and open General.
- Scroll to Danger zone and click Delete workspace.
- Read the summary. It lists campaigns, contacts, mailboxes and Icemail items in the workspace. Icemail mailboxes and domains are not deleted with the workspace; delete them in Icemail separately or move the mailboxes to another workspace first.
- Type the workspace name to confirm, enter your two-factor code and click Delete workspace.
The workspace is disabled immediately and permanently deleted after a 14-day grace period. During the grace period an Owner can contact support to restore it.
Delete your account
Deleting your account removes your user profile and every workspace you own. Workspaces where you are Admin, Member or Client viewer are unaffected; you are removed from them.
Steps
- Transfer ownership of any workspace that should survive (see "Transfer workspace ownership and move mailboxes between workspaces").
- Cancel active subscriptions in each workspace you own (see "Cancel your subscription").
- Delete or turn off auto-renew for Icemail mailboxes and domains you do not want billed.
- Click your avatar at the bottom-left, then Account settings → Security.
- Scroll to Delete account and click Delete my account.
- Type DELETE, enter your two-factor code and click Confirm.
You are logged out. Personal data is removed within 30 days; invoices are retained for the period required by tax law (typically 7–10 years) with personal data minimised.
GDPR and data-subject requests
OutreachFox acts as a processor for the lead data you upload; you are the controller. Two situations come up:
A lead asks you to delete their data or stop contacting them
- Open Contacts, search for the email address.
- Click the contact and choose Mark as unsubscribed so no campaign in the workspace can email them again. This adds them to the workspace suppression list.
- If they asked for erasure, click the three dots → Delete permanently. This removes the contact, their reply text and activity from all campaigns and lead lists. Aggregate statistics (counts) are kept without personal data.
- Reply to the person confirming the action within one month, as GDPR requires.
To erase many contacts at once, upload a CSV of emails in Contacts → Upload Contacts, assign them to a list named for the request, then select all in that list and choose Delete permanently.
You want a copy or deletion of your own data
Use Settings → Data export for a copy. For deletion, follow the workspace or account steps above. For a formal request, email the address on the privacy policy page from the Owner's email; OutreachFox responds within 30 days.
Data processing agreement
Owners can download and sign the DPA under Settings → Security → Data processing agreement. Sub-processors (hosting, email delivery, payment) are listed on the same page.
Tips
- Add unsubscribe links to every sequence (Edit Campaign → Settings → Show Advanced Configurations → Risk Control → Include Unsubscribe Message) so most requests handle themselves.
- Keep a dated record of deletion requests outside OutreachFox, since the contact record itself is gone after erasure.
- Reply-based unsubscribe requests ("please remove me") are categorised by Reply Categorization; review that category weekly.
Troubleshooting
- "Delete workspace" is greyed out: an active subscription is still attached. Cancel it first.
- Contact reappears after deletion: a CSV re-upload or CRM sync re-created it. Use Mark as unsubscribed in addition to deletion; the suppression list survives re-uploads.
- Need data restored after deletion: possible only within the 14-day workspace grace period.
