You can export everything you have put into OutreachFox and everything it has collected on your behalf: contacts and their statuses, replies, campaign sequences and statistics, mailbox and warm-up data, and billing records. Use exports for backups, client reporting, moving to another tool, or responding to a data request.

Prerequisites

  • Owner or Admin to run a full workspace export. Members can export contacts from a campaign or list they can see.
  • Client viewers cannot export.

Steps: export contacts from a campaign or list

  1. Open Campaigns, select the campaign and click the Contacts tab. For a lead list, open Contacts and select the list.
  2. Optionally filter by Status (for example replied, interested, bounced) to export a subset.
  3. Click Export.
  4. Choose CSV or XLSX and whether to include Custom fields and Activity columns (last sent, last reply, step reached, category).
  5. Click Download. Small exports download immediately; exports over 10,000 rows are emailed to you as a link within a few minutes.

Steps: export replies

  1. Open the campaign and click the Replies tab.
  2. Set the date range and, optionally, the Category filter.
  3. Click Export. The file contains lead email, campaign, step, received date, category, sentiment, subject and the full reply text.

Steps: full workspace export

  1. Click Settings in the bottom-left corner and open Data export.

  2. Tick the data sets to include:

    • Contacts and lead lists
    • Campaigns (settings, sequences with all variants, advanced configurations, sending schedules)
    • Campaign statistics (per day: sent, replies, bounces, unsubscribes, interested)
    • Replies (full text)
    • Mailboxes (addresses, provider, daily limits, signatures; no passwords or tokens)
    • Warm-up history (per mailbox per day: health, inbox placement, spam placement, bounce rate)
    • Domains (DNS and tracking-domain status)
    • Team and audit log
    • Billing (invoices as PDF)
  3. Click Start export. Progress is shown on the same page.

  4. When the status is Ready, click Download. The ZIP contains one CSV per data set, plus a README.txt describing columns. The link is valid for 7 days.

Every export is recorded in the audit log with who ran it.

Formats

  • CSV files are UTF-8 with a header row, comma separated, dates in ISO 8601 (2026-09-21T09:14:02Z).
  • Sequences are exported as CSV rows (campaign, step number, variant, channel, delay, subject, body) and as JSON for re-import.
  • Nothing is exported as a proprietary format; the files open in Excel, Google Sheets or any database.

Tips

  • Run a full export before cancelling, downgrading, transferring ownership or deleting a workspace.
  • For recurring client reports, use the API or a Zapier/Make flow instead of manual exports (see "Connect OutreachFox to Zapier and Make").
  • Exports contain personal data. Store them where your privacy policy allows and delete them when no longer needed.
  • Bounced and unsubscribed statuses are included; keep these in your suppression list when you move to another tool.

Troubleshooting

  • Export button greyed out: your role does not allow exports for this data, or an export is already running (one at a time per workspace).
  • Email link expired: run the export again; links last 7 days.
  • Missing custom fields: tick Custom fields in the export dialog.
  • Characters look wrong in Excel: open via Data → From Text/CSV and choose UTF-8.
