Understanding your charges: subscription, mailboxes, domains and credits

An OutreachFox bill can contain up to four kinds of line: the plan subscription, mailboxes bought through Icemail, domains bought through Icemail, and credits (wallet top-ups and enrichment or verification usage). This article explains each one so you can read an invoice and forecast next month's spend.

Where to look

Click Settings in the bottom-left corner and open Billing. The page has four sections: Current plan, Icemail purchases, Credits and wallet, and Invoices. The Usage tab shows the running total for the current period.

1. Subscription

The plan fee (Starter, Growth or Agency) is charged monthly or annually in advance on the renewal date. It covers the platform: campaigns, warm-up, sending schedules, reply categorisation, team seats, and, depending on plan, API, CRM sync and white-label. Add-ons such as extra seats or extra mailbox slots appear as separate lines on the same invoice and renew with the plan.

Mailboxes you connect yourself (your own Google Workspace or Microsoft 365 accounts via Mailbox → Connect Mailbox) cost nothing beyond the plan's mailbox slots.

2. Mailboxes bought through Icemail

Icemail is the built-in marketplace reached from the OutreachFox icon / arrow at the top-left → Icemail. Mailboxes bought there (Google, Microsoft, IMAP-SMTP or Azure) are billed per mailbox per month, from the day of purchase, and renew monthly on that anniversary, independently of the plan renewal date. They appear on the Billing page under Icemail purchases with the domain, mailbox count, unit price and next renewal.

  • Prices differ by provider; Google and Microsoft mailboxes cost more than IMAP-SMTP.
  • Free replacements offered by Icemail for damaged mailboxes are not charged.
  • Deleting mailboxes in Icemail stops the charge at the end of the current mailbox month; there is no refund for the remaining days.
  • Mailboxes imported into OutreachFox with Import from Icemail still count against the plan's mailbox slots.

3. Domains bought through Icemail

Domains are charged once per year at purchase and again on the registration anniversary. Icemail configures SPF, DKIM and DMARC at no extra cost. The line shows the domain name and expiry date. Auto-renew is on by default; turn it off per domain in Icemail if you plan to retire it. Domains you already own and connect via nameservers are not charged.

4. Credits and wallet

The wallet is a prepaid balance used for Icemail orders and for usage-based features:

  • Lead enrichment: waterfall enrichment across 50+ data providers deducts credits per contact successfully enriched (no charge for misses).
  • Email verification: credits per address verified before upload.
  • Icemail orders: mailboxes and domains are paid from the wallet when a balance exists, otherwise from the default card.

Top up under Credits and wallet → Top up, or enable Auto top-up with a threshold and amount (for example top up $100 when the balance drops below $20) so a campaign upload is never blocked. Wallet top-ups are invoiced when purchased; usage is shown in Usage but is not invoiced again.

Reading an invoice

A typical monthly invoice for a Growth customer looks like:

Icemail mailbox lines may appear on a separate invoice if their anniversary differs from the plan renewal date.

Tips

  • Align renewals: buy Icemail mailboxes on the plan renewal date so all charges land on one invoice.
  • Budget 2–3 mailboxes per domain and 30–50 emails per mailbox per day; work backwards from your target volume to estimate mailbox and domain lines.
  • Set Auto top-up before a large enrichment job.
  • Export Usage monthly for client rebilling.

Troubleshooting

  • Unexpected charge mid-month: usually an Icemail mailbox anniversary or an auto top-up. Match the date against Icemail purchases.
  • Charged for mailboxes I deleted: deletion took effect after the mailbox month had already been billed; no further charge follows.
  • Enrichment stopped: wallet is empty and auto top-up is off.
