OutreachFox plans differ in how many active contacts, connected mailboxes, workspaces and team seats you get, and in which features are included (CRM sync, white-label, API access). You can change plan at any time from the billing page; upgrades take effect immediately and downgrades at the end of the current billing period.
Prerequisites
- Owner role. Admins can view the billing page but not change the plan.
- A payment method on file (see "Payment methods and invoices").

Limits and prices shown in the app are authoritative; the table is indicative. Mailboxes and domains bought through Icemail are billed separately from the plan (see "Understanding your charges").
Steps: upgrade
- Click Settings in the bottom-left corner and open Billing.
- Under Current plan, click Change plan.
- Choose the plan and toggle Monthly or Annual (annual is billed up front at a discount, typically two months free).
- Review the Prorated charge. You pay only for the remaining days of the current period at the new price.
- Click Confirm upgrade.
The new limits are available immediately. A prorated invoice is emailed to the billing contact within a few minutes.
Steps: downgrade
- Open Settings → Billing → Change plan.
- Choose the lower plan and click Continue.
- Read the What changes summary. It lists anything over the new limits: extra mailboxes, workspaces, seats or contacts, and features that will be switched off.
- Click Confirm downgrade.
The downgrade is scheduled for the end of the current billing period and shown as Scheduled on the billing page. You keep the current plan until then. Click Cancel scheduled change at any time before the period ends to stay on the current plan.
What happens when you are over a limit after downgrading
- Mailboxes: the oldest mailboxes above the limit are set to Disconnected for campaigns; warm-up also stops. Choose which ones stay by deleting others in Mailbox before the period ends.
- Workspaces: additional workspaces become read-only. You can still export from them.
- Seats: the most recently invited members above the limit lose access.
- Contacts: no contacts are deleted, but you cannot upload new ones until you are under the limit or upgrade again.
- Features: webhooks, CRM sync and white-label are paused, not deleted; they resume if you upgrade again.
Tips
- Upgrade before a big launch rather than during it. A campaign that hits a limit mid-send pauses until the limit is raised.
- Check Settings → Billing → Usage first. It shows contacts, mailboxes and seats in use against the plan.
- If you only need one more seat or a few more mailboxes, an add-on may be cheaper than the next tier; add-ons are listed under Add-ons on the same page.
- Annual plans can be upgraded mid-term (prorated) but downgraded only at renewal.
Troubleshooting
- "Change plan" is greyed out: you are not the Owner, or a payment is outstanding. Settle the invoice under Invoices.
- Upgrade charged the full amount: you were on a free trial; trials are not prorated.
- Downgrade did not reduce the invoice: the change is scheduled for the next period. The next invoice reflects it.
