OutreachFox imports contacts from CSV files. If your leads live in Google Sheets, HubSpot, Salesforce, Pipedrive or another CRM, export them to CSV, tidy the columns, and upload. This article gives the export steps for the common sources and a column layout that maps automatically.
Prepare the sheet
Whatever the source, aim for these headers in the first row. Anything else can be mapped to custom fields.
email, first_name, last_name, company, title, website, linkedin_url, phone, city, country
Rules:
- One contact per row, one email per contact.
- No merged cells, no blank header cells, no totals row at the bottom.
- Remove contacts that are already customers, open opportunities, or on your do-not-contact list before exporting.
From Google Sheets
- Open the sheet and make sure the tab with your leads is active.
- File → Download → Comma Separated Values (.csv). Only the current tab is exported.
- In OutreachFox, go to Contacts → Upload Contacts, drop the file, choose or create a list, handle duplicates, map columns, and click Save and Continue.
From HubSpot
- Contacts → Contacts, apply a filter or open a saved view.
- Export → format CSV, choose the properties (at least Email, First name, Last name, Company name, Job title).
- HubSpot emails you the file; download it and upload it in OutreachFox as above.
From Salesforce
- Create a Report on Leads or Contacts with the columns you need.
- Export → Details Only → format CSV.
- Upload in OutreachFox.
From Pipedrive
- Contacts → People, filter as needed.
- ... → Export filter results → CSV.
- Upload in OutreachFox.
Adding leads straight into a campaign
If the list is for one campaign only, skip Contacts and upload inside the campaign instead: open the campaign → Contacts → Upload Contacts → Upload new CSV → map → Next → Resume Campaign or Launch Campaign.
Tips
- Export the CRM's record ID as a column and map it to a custom field. When you export replies back out of OutreachFox you can match rows without relying on email.
- Choose Merge for duplicates when re-importing from a CRM; it refreshes titles and companies that changed.
- Verify emails from a CRM before sending. CRM data is often years old, and a stale list bounces at 10% or more.
- Keep a source column (hubspot-2026-09) mapped to a custom field so you can compare reply rates by data source later.
Troubleshooting
- Google Sheets export has extra empty rows: delete the blank rows at the bottom of the sheet; they import as contacts with no email and are rejected.
- Dates or phone numbers look mangled: the spreadsheet reformatted them. Set those columns to plain text before exporting.
- HubSpot export includes thousands of unwanted contacts: export from a filtered view or list, not from All contacts.
