Quick Start Guide: from zero to first campaign

This guide walks you through the whole path from a new OutreachFox account to a live campaign. Each stage links to the detailed article for that step. Budget two to three weeks end to end: most of that time is mailbox warmup, which you should not skip.

Prerequisites

  • An OutreachFox login.
  • Either mailboxes you already own (Google Workspace, Microsoft 365 or any SMTP/IMAP provider), or a wallet balance to buy them through Icemail.
  • A contact list as a CSV with at least an email column (first name, company and other personalisation fields are strongly recommended).

Steps

Stage 1 — Get sending mailboxes (day 1)

  1. Decide whether to buy or bring your own. New senders should buy through Icemail: SPF, DKIM and DMARC are configured automatically. See Buy domains and mailboxes through Icemail.
  2. To buy: click the OutreachFox icon at the top left, choose Icemail, then Add DomainBuy Domains. After the domain purchase, choose the mailbox type (Google, Microsoft, IMAP or Azure), click Buy New Mailboxes, set the quantity and check out. Use 2–3 mailboxes per domain.
  3. To bring your own: make sure SPF, DKIM and DMARC records exist on the domain before connecting. See Connect a Google Workspace mailbox to OutreachFox, Connect a Microsoft 365 / Outlook mailbox to OutreachFox or Connect any SMTP/IMAP mailbox (custom provider).

Stage 2 — Connect the mailboxes to OutreachFox (day 1)

  1. Go to MailboxConnect Mailbox.
  2. Icemail mailboxes: scroll down and click Import from Icemail.
  3. Own mailboxes: pick Google Workspace or Office365 Outlook and follow the on-screen admin instructions, then Connect with Google / Connect with Outlook.
  4. Confirm each mailbox appears in the Mailbox list.

Stage 3 — Warm up (days 1–14+)

  1. In Mailbox, select all new mailboxes and click Enable Warm Up.
  2. Pick the warm-up profile that matches the provider (Google, Microsoft, Azure or Custom Mailboxes), then click Enable Warmer. See Enable mailbox warmup and Using warm-up profiles.
  3. Wait at least 14 days (2–3 weeks is safer for brand-new domains). Check the Warm up tab for health, inbox placement and bounce rate before moving on. See Mailbox warmup analytics.

Stage 4 — Upload contacts (any time during warmup)

  1. Go to ContactsUpload Contacts, drag and drop your CSV.
  2. Assign the contacts to a list or create a new one, choose skip or merge for duplicates, map the columns and click Save and Continue. See Upload contacts to OutreachFox.

Stage 5 — Create the campaign (during warmup)

  1. Go to CampaignsCreate Campaign. Name it, choose Email Outreach (or LinkedIn / Multi Channel) and click Create.
  2. Click Start with Email and write the first step: subject and body. Use Variables for personalisation, Spam Words to check the copy and Preview to review it. Click Save.
  3. Add 2–3 follow-up steps with Add Step (wait 3–4 days between steps) and, optionally, New Variant for A/B tests. Click Save and Next.
  4. Choose the Sender Accounts (your warmed-up mailboxes), then upload or select the contact list and click Next.
  5. In Settings, set a sending schedule, keep the daily new-contacts limit modest (30–50 emails per mailbox per day) and enable Pause campaign when bounce rate reaches 3%. See Campaign settings and advanced configurations.

Stage 6 — Launch (after warmup completes)

  1. Run through the Pre-launch checklist.
  2. Review the summary and click Launch Campaign.

What you see afterwards

The campaign shows as active in Campaigns. Sends begin at the next window in your sending schedule. Track replies, bounces and lead statuses in the campaign's Contacts tab.

Tips

  • Never launch on a mailbox that is less than 14 days into warmup.
  • Keep warmup running during campaigns; it maintains reputation.
  • Start with one small list (a few hundred contacts) and one campaign; scale mailboxes before you scale volume.
  • Add an unsubscribe link (Risk Control → Include Unsubscribe Message) from day one.
