Add a custom email signature to a mailbox

Each connected mailbox can have its own signature. OutreachFox appends it to campaign emails sent from that mailbox, and you can insert it in sequences with the signature variable. This article shows how to add or edit a signature for one mailbox; to apply one signature to many mailboxes at once, see Bulk set or clear signatures, and delete mailboxes.

Steps

  1. Log in to your OutreachFox account.

  1. Click Mailbox in the left menu.

  1. Select the mailbox you want to add a signature to.

  1. Click Settings for that mailbox.

  1. Click Edit next to the signature.

  1. Enter the signature in the editor. Format the text and add contact details, links or other information as needed.

  1. Use the + Name and + Email buttons to insert the mailbox's sender name or email address automatically.

  1. Check the preview panel to see how the signature will look in outgoing emails.

  1. Click Save.

What you see afterwards

The signature is stored on the mailbox. It is used in every campaign email sent from that mailbox from now on, including emails already scheduled in running campaigns.

Tips

  • Keep cold-email signatures short: name, title, company, one link. Two to four lines is plenty.
  • Avoid images and logos. Image-heavy signatures raise spam scores and tracking-pixel blockers can strip them anyway.
  • Use plain hyperlinks sparingly; one link is fine, several look like marketing mail.
  • Use + Name and + Email rather than typing them, so the same signature template works when you copy it to other mailboxes.
  • If you send in plain text (campaign setting Send emails in plain text), formatting is dropped; check the preview with that in mind.

Troubleshooting

  • Signature appears twice — the sequence body already contains the signature variable and the mailbox also appends one. Remove one of the two.
  • Signature missing on some mailboxes — signatures are per mailbox; set it on each one or use the bulk action.
  • Formatting looks different in the recipient's inbox — email clients render HTML differently; keep formatting minimal.
