Bulk set or clear signatures, and delete mailboxes
The three-dots menu in the bulk actions bar on the Mailbox page lets you apply one signature to many mailboxes, remove signatures, or delete mailboxes from OutreachFox in a single step.
The three-dots menu in the bulk actions bar on the Mailbox page lets you apply one signature to many mailboxes, remove signatures, or delete mailboxes from OutreachFox in a single step.
Steps
- Log in to your OutreachFox account and go to Mailbox.

- Select the mailboxes you want to change, or use the select-all checkbox at the top.

- In the bulk actions bar, click the three dots menu.

-
Choose one of the options:
- Set Signature — opens the signature editor. Write the signature, use + Name and + Email so each mailbox inserts its own sender name and address, and save. The signature is applied to every selected mailbox.
- Clear Signature — removes the signature from every selected mailbox.
- Delete — removes the selected mailboxes from OutreachFox.

- Confirm the action.
What you see afterwards
- After Set Signature, opening any selected mailbox → Settings shows the new signature, with the name and email already filled in for that mailbox.
- After Clear Signature, the signature field is empty.
- After Delete, the mailboxes disappear from the list. Campaigns that used them as sender accounts stop sending from them.
Tips
- Use the + Name and + Email placeholders rather than typing a specific name; otherwise every mailbox gets the same person's details.
- Keep the shared signature short and image-free (name, title, company, one link).
- Before deleting, check which campaigns use the mailboxes as sender accounts and reassign them, so a running campaign does not lose all its senders.
- Deleting a mailbox in OutreachFox does not delete the mailbox at Google, Microsoft or Icemail; it only disconnects it. You can reconnect it later.
Troubleshooting
- Signature applied but names are wrong — the sender name on the mailbox is wrong; fix it under the mailbox's Settings (see Set sender name, reply-to address and aliases), the signature updates automatically.
- Delete option greyed out — at least one selected mailbox is in use by a live campaign; pause the campaign or deselect that mailbox.
- Deleted a mailbox by mistake — reconnect it via Connect Mailbox (or Import from Icemail). Warmup history and per-mailbox settings are not restored, so re-enable warmup.
