Each connected mailbox has a sender name (what recipients see in the From field), an optional reply-to address (where replies go if not the mailbox itself) and, on Google and Microsoft mailboxes, optional aliases (other addresses the mailbox is allowed to send as). This article shows where these live and how to set them.
Prerequisites
- The mailbox is connected under Mailbox.
- For aliases: the alias is already configured at the provider (Gmail "Send mail as" or Workspace alias; Microsoft 365 proxy address).
Steps
Sender name
- Go to Mailbox and click the mailbox.
- Click Settings.
- In First name and Last name (or Sender name), enter the name recipients should see, for example "Sara Lopez".
- Click Save.
The name is also what the + Name button inserts into signatures and what the sender-name variable resolves to in sequences.
Reply-to address
- In the same Settings panel, find Reply-to.
- Enter the address that should receive replies, for example a shared inbox or your primary work address.
- Click Save.
Leave it blank to have replies come back to the sending mailbox. Note that OutreachFox detects replies by reading the sending mailbox over IMAP; if you redirect replies elsewhere, reply detection and reply categorization only work if that address is also connected as a mailbox.
Aliases
- In Settings, find Aliases (Google Workspace and Microsoft 365 mailboxes).
- Click Add alias and enter the alias address, or select from the aliases OutreachFox found on the account.
- Choose whether the alias should be used as the From address for campaigns.
- Click Save.
What you see afterwards
The mailbox list shows the sender name next to the address. Test it by sending a preview email from a campaign to yourself and checking the From and Reply-To headers.
Tips
- Use a real person's name, first and last, in normal capitalisation. "Sara Lopez" beats "Sara @ Acme" or "Acme Team" for reply rates and for spam filters.
- Keep the same sender name across all mailboxes for one person; changing names on the same address looks suspicious.
- Do not set reply-to to a different domain than the From address; it fails many DMARC-alignment checks and looks like spoofing.
- Use aliases only when you need a specific address (for example a shorter domain) and the alias's domain also has SPF/DKIM set up for the provider.
- Sending from an alias on a domain you have not warmed up carries the same risk as a cold mailbox; warm the alias too.
Troubleshooting
- Recipients see the raw email address instead of a name — sender name is empty; set it under Settings.
- Replies not appearing in the campaign — a reply-to address is set that is not a connected mailbox. Clear it or connect that mailbox.
- Alias not offered — it is not configured at the provider, or the mailbox was connected before the alias was created; reconnect the mailbox.
- Alias sends are rejected — the alias's domain lacks SPF/DKIM for the provider; add the records.
