Auto-match ESP sends each email from a mailbox on the same email service provider as the recipient whenever one is available. A lead on Google Workspace gets an email from one of your Google mailboxes; a lead on Microsoft 365 gets one from a Microsoft mailbox. Mail between two accounts on the same provider is treated with more trust, so this improves inbox placement. When no matching mailbox exists, OutreachFox falls back to a random pick from the campaign's other mailboxes according to your usual rotation.
Prerequisites
- The campaign has mailboxes from more than one provider attached (for example Google and Microsoft). With a single provider there is nothing to match.
- You are on the campaign's Settings step (new campaign) or in Edit Campaign → Settings (existing campaign).
Steps
- In the campaign settings, click Show advanced configurations.

- Under Deliverability and Safety, find Auto match leads.

- Turn Auto match on.

- Click Launch Campaign for a new campaign, or Save and Resume Campaign for an existing one.

From now on, each lead's provider is detected from their domain's MX records and the matching mailbox is used when one is free within its daily limit.
Why this matters
Google-to-Google and Microsoft-to-Microsoft traffic passes through fewer external reputation checks and is less likely to be filtered as unknown. In practice a mixed mailbox pool with auto-match on typically lands a few percentage points more emails in the primary inbox than the same pool without it.
Tips
- Buy mailboxes in proportion to your list. If your lead list is 60% Google Workspace and 40% Microsoft 365, attach mailboxes in roughly that split so matching rarely falls back.
- Icemail lets you buy Google, Microsoft, Azure and IMAP-SMTP mailboxes, which is the easiest way to build a mixed pool.
- Keep auto-match on for every campaign; there is no downside when the pool is mixed.
Troubleshooting
- Everything still sends from one provider: the campaign only has mailboxes from that provider attached. Add mailboxes of the other provider under sender accounts.
- Matched mailboxes hit their limit early: a large share of your list is on one provider. Add more mailboxes of that type or lower the daily new-contacts limit.
