Create a sending schedule (time zone, holidays, days, send windows)

A sending schedule defines when a campaign is allowed to send: the time zone, the days of the week, the hours within those days, and whether public holidays are skipped. Schedules are created once …

A sending schedule defines when a campaign is allowed to send: the time zone, the days of the week, the hours within those days, and whether public holidays are skipped. Schedules are created once under Campaign Settings and then applied to any campaign, so you can keep a "US business hours" and a "UK business hours" schedule side by side.

Steps

  1. Click Campaign Settings at the bottom left of your OutreachFox account.

  1. Select Sending Schedules.

  1. Click Create new schedule.

  1. Enter a name for the schedule, for example US East – business hours.

  1. Choose the time zone. Pick the time zone of your recipients, not your own, so emails arrive during their working day.

  1. To avoid sending on public holidays, tick Skip public holidays.

  1. Select the country whose holiday calendar should apply.

  1. Click the days of the week on which emails may be sent. Select one or several.

  1. Adjust the send timings to set the start and end of the daily send window.

  1. Click Save.

The schedule now appears in the Sending Schedules list and can be selected in any campaign's settings.

Recommended settings

  • Days: Monday to Friday. Tuesday to Thursday get the best reply rates; Monday mornings and Friday afternoons the worst.
  • Window: 8:00 to 17:00 recipient time. A wider window spreads sends more naturally; a very narrow window (for example 9:00–10:00) forces bursts that look automated.
  • Holidays: always on for the country of your recipients. Sending on a public holiday wastes a step and lowers open rates.

Tips

  • Create one schedule per target region and name it by region, not by campaign.
  • If you send to several regions from one campaign, split the campaign by region so each gets the right schedule, or use lead-level time zones (see Campaign time zone and lead-level time zones).
  • The send window caps volume: a mailbox limited to 40 emails per day over a 9-hour window sends roughly one email every 13 minutes, which is the pace you want.
