Choose a sending strategy: follow-ups first, balanced, or new leads first

Once a campaign has more emails due than your mailboxes can send in a day, OutreachFox has to decide which to send first: follow-ups to leads already in the sequence, or step 1 to leads who have not been contacted. The sending strategy setting controls that priority.

Prerequisites

  • You are in the campaign's Settings (open the campaign → Edit Campaign → Settings, or the Settings step of a new campaign).

Steps

  1. In campaign Settings, find the sending volume strategy option.

  1. Choose one of the three strategies:

    • Follow-ups first: leads already in the sequence get their next step before any new lead receives step 1. If the first email went out yesterday, people waiting for email two are served first.

  - **Balanced**: daily capacity is split evenly between follow-ups and first emails to new leads.

  - **New leads first**: all step-1 emails to new leads go out before any follow-ups are sent.

  1. Click Save, then Resume campaign to apply the change.

Which strategy to pick

**Strategy****Best for****Watch out for**
**Follow-ups first**Most campaigns. Follow-ups produce the majority of replies, and keeping the gaps between steps consistent matters more than reaching new names.New leads may wait several days if capacity is tight.
**Balanced**Campaigns with plenty of mailbox capacity where you want steady growth in reach and steady follow-ups.Neither queue is guaranteed to finish each day.
**New leads first**Time-boxed pushes: an event invite, a launch, a list that expires.Follow-up delays stretch and reply rates on later steps drop.

Tips

  • Combine the strategy with the Daily new contacts limit. Follow-ups first plus a modest new-contacts limit is the most reliable setup.
  • When you add a large batch of leads to a live campaign, switch to Follow-ups first for the first few days so existing conversations are not starved.
  • If follow-ups are consistently late by more than a day, you need more mailboxes, not a different strategy.
