Personalisation variables: lead, sender and context fields

Variables are placeholders that OutreachFox fills in per recipient when the email is sent. You can insert them in the subject line and in the body. There are three groups: lead fields (from your contact list), sender fields (from the mailbox that sends the email) and context fields (day, time, month).

Steps

  1. Open the campaign and go to the email body of the step you want to edit.

  1. Place the cursor in the subject line or in the body where the variable should appear.

  1. Click Variables to open the list of available fields.

  1. Choose a lead field such as First Name. OutreachFox pulls the value from the matching column in your contacts. This works the same way for every variable.

  1. Scroll the list to see the other lead fields (company, title, website, custom fields and so on).

  1. Add sender variables where needed: sender name, sender email and signature. These are filled from whichever mailbox sends that particular email, so rotated mailboxes always sign correctly.

  1. Add context variables to reference the day of the week, time of day or month at send time.

What you see afterwards: variables appear in the editor as highlighted tokens. Use Preview to see them filled with a real contact's data.

Tips

  • Use the sender signature variable instead of typing a signature into every step. Edit signatures once under Mailbox → Settings.
  • Context variables are useful for natural openers ("Hope your Monday is going well") without maintaining separate copies per day.
  • Keep lead data clean before upload: variables copy the value exactly, including trailing spaces or all-caps company names.
  • Limit personalisation to two or three fields per email. Over-templated emails read as automated.

Troubleshooting

  • A variable renders as the raw tag — the contact has no value for that field. Check the column mapping in Contacts, or add a fallback value.
  • Sender name is wrong — set the name in Mailbox → Settings for that mailbox; the variable reads from there.
